Creating and Using Onboarding Task Lists

During your onboarding process, you may have some tasks you would like all new hires or other employees to complete when a new teammate is added. For example, you might want your new hire to watch a video or another teammate to set up the new hire’s email account. Onboarding Tasks allow you to set up a list of tasks that can be assigned to new hires or others during the invitation process.

To do this, navigate to the Onboarding section under Settings. Under the Onboarding Tasks tab of this page is where you will manage your list(s) of Onboarding Task Templates. A Template is a list of tasks that can be generated automatically while inviting a new hire to onboard. To set up a new list, click the “Add Template” button and give your template a name. Make it something descriptive that will help differentiate from other templates you make, such as “Full-time employee tasks” or “New manager tasks”. 

Once your new template is saved, it will appear on your list of Onboarding Tasks. To add tasks to this list, click its name to open the detail section and then the “Add Task” button. 

In the form that opens, complete the details of your task. Its due date will be dependent on your new hire’s hire date; you can choose to set it to whenever a new hire’s hire date will be or some date days, weeks, or months before/after the hire date. A common use case of this would be to assign a task to an existing employee to order business cards or needed office supplies two weeks before the new hire starts. The task can be assigned to the new hire, their manager, or another active employee.

Note: if you do not assign a manager to a new hire during the invitation process and choose a task list that includes a task assigned to their manager, the task will default to the client-admin user.

Continue adding tasks to your list, or make a new template if you’d like to set up another list. Just keep in mind that only one template at a time can be assigned to a new hire.

Once you have at least one template created, you will be able to select those tasks while inviting a new user to onboard on the “Onboarding Tasks” step.
