Employee Onboarding Process - Employee View
Welcome to the guide on what a new employee experiences during the onboarding process in the guHRoo application. This article will walk you through the key steps an employee goes through after accepting their offer letter, ensuring a smooth transition into your company.
Video Overview (step-by-step below)
Steps/Procedures:
Receiving the Invitation: Initially, the employee receives an invitation email, which they need to accept to start the onboarding process.
Entering Personal Information: The employee is required to input their personal details, including date of birth, social security number, and address. It’s important to ensure this information is accurate, as any errors will result in a notification email for correction.
Updating Contact Details: Employees must add primary emergency contact information, including the contact's phone number and relationship.
Completing Federal Tax Information: The application guides employees through filling out their federal tax details, including their W-4 form. Links to necessary forms and instructions are provided.
Completing Assigned Tasks: If there are any assigned tasks (such as signing custom documents or the employee handbook), these will be listed for the employee to complete.
Direct Deposit Information: Employees need to enter their bank details for direct deposit to ensure timely payment. The system verifies the bank account’s validity.
Eligibility Acknowledgement and I-9: Employees must acknowledge their eligibility and sign off on their I-9 form, choosing either to provide eligibility documents in person or upload them online.
Final Steps and Dashboard Access: After submission, employees are directed to their dashboard. They might have additional tasks like confirming state W-4 information and validating account details before they can fully engage in work activities.
Troubleshooting:
- If employees encounter errors in personal information submission, they should check for notification emails and correct the details accordingly.
- In case of issues with document uploads or task completion, ensure a stable internet connection and refer to the onboarding setup video in the Knowledge Base.
