When entering or reviewing the payroll timesheet in PRO software, you may notice that some employee rows are highlighted in different colors. These color highlights are visual indicators designed to alert you to specific employee statuses that may affect payroll processing. Understanding what each color means can help prevent errors and ensure smooth payroll operations.

Color Codes and What They Mean

Here’s a breakdown of the color-coded highlights you’ll see on the Time Entry Sheet in PRO, along with what action (if any) you may need to take:

Pink – Terminated Employee
  • What it means: This employee has been marked as Terminated in the system.
  • What to do: Double-check that no additional hours are being entered for this employee unless it’s for final pay. If this is incorrect, review the employee’s status in the system or contact your HR administrator.

Yellow – Leave of Absence
  • What it means: This employee is currently on a Leave of Absence.
  • What to do: Ensure that no hours are being recorded unless they are being paid while on leave. Review your leave policy or check with HR if unsure.

Purple – First Check (New Hire)
  • What it means: This is a new hire, and this payroll will be their first paycheck.
  • What to do: Verify that the start date is correct and confirm that hours have been accurately entered for the correct dates. This helps avoid first check delays.

Green – Future Pay Rate Change
  • What it means: This employee has a future pay rate change that falls within this pay period.
